Case Manager is a Windows application that is installed on one or more computers in your office (network). A single user or multiple users (network workstations) enter data into Case Manager and the data is stored on your main computer in your own office.  This gives you physical ownership of your data at all times, and since you don't enter data via the internet, there is never interruption to data entry due to internet down time.   

Once data is entered, it can be uploaded by you to a "private online mysql database" that resides on our high speed dedicated servers, where your clients can log in (using a unique user name and password) to view the status of any service record, including the ability to view proofs of service etc.  Clients can also submit jobs and documents to you online that flow directly into your Case Manager software (optional feature). Your process servers can also log into the database using their CELL PHONE (same as using an APP, only easier)... or they can log in using their computer.   Once logged in they can view records you gave them to serve, and they can also update records online (if you allow this). Once Case Manager is installed, the one thing you have to have your IT person do is to set your default email program so that Case manager can access your email program when performing functions such as emailing Status Reports, Affidavits, Worksheets and other ducuments to clients and/or process servers. Setting this up varies in different operating systems. Your IT person has the repsonsibility of doing this. If you do not have an IT person, it is suggested that you contact Microsoft for information.

This will enable you to fully comprehend all important functions, such as how the software is set up, how to add employees, courts, clients and other essential set up information. You will also learn everything there is to know about entering records, generating and customizing affidavits and other forms, entering invoices, generating worksheets and status reports, online status reports, automated job and document submission by your clients, and lots more.

HOW TO USE THE "TRANSFER JOBS TO/FROM CLIENTS" FEATURE

This feature enables users to export "selective" service related data into an Excel Spread Sheet (CVS) and send same to clients, or transmit the data to any FTP location designated by a client. This also Enables a user to IMPORT jobs submitted by clients in comma delimited and tab format, which will flow into Case Manager. This feature also enables users to export Case Manager data (Comma Delimited and .TXT ) for import into other programs, such as email programs, fax programs such as WinFax Pro 10, access/excel. Many process servers are required by the USPS to use Excel in order to do mailings, which is their primary means of advertising. They must enter all the Client data into Access, then convert it to Excel before it goes to the USPS. As such, the export tool will allow Client information such as name and email address (as well as personal) to be exported into Excel.

This feature enables users to export service related data into an Excel Spread Sheet for any purpose, including log files as might be required by Departments of Consumer Affairs (NY or other states) and to store same to CD\DVD. Spreadsheets can be created that includes all service related data, for any date range, for any process server, for all process servers, (Excel, CSV, Txt formats). You can select the data range for the data you wish to include on a spreadsheet, and handy drop down menus allow you to select the server name, if you are creating the spreadsheet data for an individual serverů..or you can select ALL SERVERS to create a spreadsheet that will contain data for all servers.

The only people who can edit records online are the company owner and process servers that work for your company, provided that when you set up an employee, you indicated that they had permission to edit records online....otherwise they would only be able to view records and accompanying affidavits (See employee setup movie).  The below movie is more specific on this.

HOW TO GENERATE REPORTS OF ALL TYPES

Case Manager contains numerous reports containing information about clients, invoices, payments to process seervers, accounts receivable and much more.   You will need to click on each report to view it and determine the ones that suit your business as most of these reports have been added due to requests from Case Manager users over past years. At the top portion of the Case Manager screen, there is a drop down link titled "Reports", which displays links to all reports.

Additionally, there are many invoicing reports. To view them simply click on the INVOICING button on the process info screen of Case Manager, and you will see buttons clearly labeled as to what each report contains. Clicking on a button will display the report.
